Artificial Hand: you do it once, the system repeats it
A custom-built system that follows orders, customers, lots and stock for you, alongside the management software you already have.
What it is about
Orders from cafés arrive on WhatsApp, the cupping sheets for samples sit in a notebook, stock is tracked in an Excel file, and the management software doesn’t talk to the website. In many coffee companies, orders, customers and stock are held together by one person, from memory. Today that work can be followed by a system built to measure, starting from your needs rather than from the tools: it collects, puts things in order, alerts whoever needs to act and always knows where each lot is, while your management and accounting software stay where they are. That is the artificial hand. You do it once, the system repeats it, always with the rules you set. Live demonstrations, from a café’s order to the record of a lot, to do better what you already do.
Hi! For Thursday we need 2 kg of Miscela Oro and 1 kg of decaf. Thanks

Why it matters in coffee
In a coffee company, besides the coffee, there is one job that never ends: keeping track of orders, customers, lots, stock and machine servicing. That is where artificial intelligence pays off most for people who can already judge the result, if they use it as a hand that carries out the work rather than an oracle that gives answers.
What you take home
- Where to start: with the job you redo three times a week, by hand, copying the same data from one tool to another.
- Rules are written once (a customer’s credit limit, when to reorder green coffee, who to alert if a café hasn’t ordered for a month), then the system repeats them.
- How to run it alongside what you already have, one piece at a time and without switching anything off.
- The real cases the method comes from, taken from other trades: a car dealership where the owners can check progress against targets several times a day instead of waiting for the quarterly report; a business owner who works with vineyards and, without programming, built the system that catalogues the voice notes used to assess them.
Format
- Day
- Wednesday 21 October
- Duration
- 45 minutes plus 15 for questions, adaptable to the programme slot
- Live
- On a sample coffee company, with made-up data. An order that arrives as a message becomes a row in the system, with an alert to whoever has to fulfil it; a cupping note dictated aloud becomes the lot’s record.
- For
- Owners and managers of roasteries, importers, distributors and machine makers, and whoever handles orders, stock, quality or admin. No technical skills needed to follow it.

The speaker

Federico VitielloA.I. Strategist and Growth Marketer
Federico Vitiello trains businesses and trainers to steer AI with their own judgement.
A hands-on experimenter with AI across text, images, video, sales and organisation, Federico runs workshops where participants leave with real prototypes (web apps, automations, ready-to-use content) rather than notes to reread.
Federico has designed and delivered training and consulting programmes for Generali, Credit Agricole Italia, Unipol, FINCRES, Branca and Confindustria, and teaches at the Sole 24 Ore Business School and on the Master in Digital Marketing at the University of Udine.
On Alleniamo Imprese, Federico trains people who know that marketing takes sweat, not study. Knowing what to do is simple; truly stepping into the customer’s shoes is a muscle you train.
